Campus Closing During a Normal School Day


____ Maintenance alerts VP of Finance and Administration (or alternate as listed on the first page of instructions) of hazard and starts the use of this check list by passing it to the VP of Finance and Administration or Alternate.

____ VP of Finance and Administration in consultation with the VP of Student and Academic Services and VP of Economic Development and Innovative Workforce Solutions makes recommendation to the President and a closing time is established.

____ VP of Finance and Administration alerts the Executive Director of Public Information/Chief of Staff,  and the Director of Human Resources.

____ Each Vice President notifies his/her staff.

____ Executive Director of Public Information/Chief of Staff

____ Puts message on voice mail and e-mail.

____ Notifies Bookstore.

____ Notifies Food Service.

____ Notifies Media.
____ Makes signs for posting at entrances/exits and forwards to Security for posting.
____ Arranges with Marketing office to have message placed on Internal (TV) Display System(s).
____ Prepares information for outside message board(s).
____ Changes College greeting on phone system.

____ VP of Economic Development and Innovative Workforce Solutions notifies Project READ, DATA classes, dual credit classes on campus, Ag/Horticulture classes and CSI classes.

____ Director of Operations and Technical Services arranges for "closed" message on outside electronic sign(s) and has information posted on web page.

____ Security posts notices on doors about campus closing.

____ Dean of Enrollment Services contacts the Switchboard Operator, Clinton Center, and outlying class locations.

____ Dean of Enrollment Services notifies Distance Learning sites and Instructors.

____ Dean of Enrollment Services will contact the Executive Director of Public Information / Chief of Staff in the event outlying school districts are suspending RCC classes or if Clinton Schools/Decatur Schools require RCC's Center(s) to close.

____ The Executive Director of Public Information / Chief of Staff will communicate the closing of the Fairview Center, Clinton Center to the College.

____ Dean of Continuing and Professional Education contacts Richland Fairview Park Plaza Center and Fitness Center personnel as required. Coordinates any scheduled events / classes at the Shilling Center, and relays to the VP of Finance and Administration plus the Director of Operations and Technical Services any requirements to continue these functions.

____ Appropriate Supervisors contact employees scheduled to work later in the day and/or evenings as required.

____ Vice Presidents and Director of Operations and Technical Services determine if skeletal crew is necessary and identifies crew and hours.

____ Vice President of Student and Academic Services will notify Decatur Transit.

____ Vice Presidents and Director of Operations and Technical Services determine if building needs to be vacated and coordinate effort.

____ When the building needs to be fully vacated due to a safety or hazardous issue, the administrative staff will assist the Director of Operations and Technical Services in making certain that the building is fully vacated.

____ Visitors expected on campus for meetings and other scheduled activities will be notified by the appropriate staff member(s).
